Tour cancellations, postponements and refunds

These conditions apply to scheduled group tours, not wedding packages (wedding terms are in your signed proposal). They form part of your booking together with the Terms & Conditions. Your booking confirmation identifies your departure and your payment deadline.

1. Payment

100% of the confirmed tour price is payable in USD by the payment deadline stated in your written quotation. No deposit or instalment option is offered.

2. How a departure is confirmed

A departure is activated when at least 10 travellers have been approved by NHTT (maximum 16 including children). Approved travellers then pay in full by the deadline in their quotation. The departure proceeds only when at least 10 approved travellers have paid in full by the confirmation deadline stated in the quotation. A traveller who has not paid in full by the deadline loses the place unless NHTT agrees otherwise in writing.

3. If the minimum is not reached

If fewer than 10 travellers have paid in full by the confirmation deadline, NHTT will tell every approved traveller in writing and may propose a new date. Each traveller who has paid may accept the new date or decline and receive a 100% refund of their tour payments. A new departure is not binding until accepted in writing. NHTT may also cancel the departure, in which case section 4 applies.

4. Cancellation by NHTT

If NHTT cancels a confirmed tour, the traveller receives a 100% refund of tour payments made to NHTT. This does not cover independently booked flights, visas, insurance or other third-party costs.

5. Cancellation by the traveller

Send your cancellation in writing to info@namibiahalaltours.com. The refund depends on the number of full calendar days between NHTT receiving your notice and the scheduled departure date:

Cancellation notice must be received in writing. Refunds are calculated against the USD tour amount paid. A change of travel date or traveller counts as a cancellation unless agreed otherwise in writing. Nothing in this policy limits rights under applicable consumer law.

6. Hotels, guides and activities

Named hotels, guides and activity providers are proposed options, not guaranteed reservations. Final suppliers and arrangements are confirmed in writing after group activation, subject to availability and suitability. If material arrangements cannot be provided, NHTT will offer an appropriate alternative or address cancellation under these terms and applicable law.

7. Refund procedure

Refunds are paid in USD to the original payment method where possible. NHTT will acknowledge your request in writing with an estimated processing time; bank and payment-provider settlement times vary.

Important: Do not purchase non-refundable flights until your departure has been confirmed in writing.
